Adding a Draw
Here are the steps to add a draw to your incentive plan: - Edit your plan
- Click on the "Beneficiaries" tab
- Make sure all beneficiaries should receive the draw
- If not, create a separate plan
- Beneficiaries are computed based on configured rewards
- Click on the "Calculations" tab (if needed)
- Specify a draw type in the dropdown
- Save your plan
This type of draw is per-plan. If your payees receive commissions from multiple plans, we may need to setup a separate draw plan. This separate draw plan can take into account payouts from multiple plans, and calculate draw amounts. Sales Cookie makes it easy to query rewards to enable this type of calculation. Key Concepts
Draws are a form of guarantee. They can be recoverable (i.e. they need to be repaid), or they can be non-recoverable (i.e. they are forgiven).
When a calculation runs, and total commissions awarded to a beneficiary are less than the draw amount, the system will add a reward of type "Draw" with the missing amount. This is called an advance. For example, if a beneficiary's draw is $5000 and their calculated commission was $4000, the system will add a reward of type "Draw" worth $1000 so that the beneficiary receives $5000.
If the draw is recoverable, the system will keep track of each user's owed balance. The balance is the amount of money this employee "owes" the company (because of previous recoverable draw payments). To see a user's balance, simply edit the user, or view their incentive statement.
Also, if the draw is recoverable, and a calculation finds that total commissions awarded to a beneficiary are more than the draw, the system will add a reward of type "Draw" with a negative amount, until the balance has been repaid in full. This is called a repayment. For example, if a beneficiary's draw is $5000 and their calculated commission was $6000, the system will add a reward of type "Draw" worth -$1000, and also reduce their owed balance by $1000. You can even cap repayments.
Draw Effective Dates
To allow draws to change over time, select a draw type which allows you to specify a custom variable. In the example below, we selected a recoverable draw, with a variable called @@Draw specifying the guarantee.
Next, configure a custom variable (on each user) with amounts and effective dates with the same variable name (ex: @@Draw):
Auditing Recoverable Payouts
You can also view owed balances on each user by viewing their profile:
You can view the owed balance of all users by exporting them (Users > Overview > Export All):
You can manually enter recoverable draws (positive or negative) as needed:
To get a full history of recoverable payouts, you can create a custom report (ex: using Excel) which retrieves all recoverable payouts (positive of negative). Please reach out for assistance.
