Best Practice - Handling Terminated Payees


When an employee leaves your organization, you may want to:
  • Ensure they cannot access online commission statements
  • Stop paying for a Sales Cookie license
  • Finalize remaining owed commissions

Below are different actions you can perform when an employee is terminated. 

The correct sequence of actions to perform depends on your business workflow. Some organizations want to stop paying commissions immediately upon termination (in which case you can deactivate users immediately). Other organizations prefer to calculate commissions for one more period, and send a final check to payees (in which case you should delay deactivation until you've calculated final commissions).

Disable Dashboard Access
You can disable dashboard access, in which case payees will no longer be able to view their commission statements online, but you will still be charged for a license (although at a reduced cost). Users are still be taken into account in subsequent calculations. Note: you will still be able to see their historical statements.



Deactivate User
You can deactivate users, in which case they will no longer be able to view their commission statement, and you will no longer be charged for a license. Deactivated users will NOT be taken into account in subsequent calculations. This is a good option if you do NOT need to calculate or issue a final commission payment. Note: you will still be able to see their historical statements.



Set An End Date
If you still need to issue final commission payments for terminated users, do NOT deactivate them yet. Indeed, deactivating those users would result in them NOT be taken into account in subsequent calculations. At the same time, you may NOT want them to be credited for any transaction past a certain date. To handle this scenario, do NOT deactivate the user, but set an end date, so they stop being credited after their end date. Once you've issued final commission payments, deactivate them.



Review Recoverable Balance
If you have recoverable draws, you may want to review their owed balance. You can export all users and the balance will be listed in the export. Or, edit a user and review their owed balance.
